4^th Executive Committee Meeting on 12^th April 2014 at the residence of Dr. Ygnesh Sharma

The meeting started at 7.00 pm

1. Present

Prof. H. K.V Rao, Sri K. Prashant Hegde, Dr. Shamsunder Bhat, Prof. Shiv Prasad HG, Sri Harish G Kalmadi, Prof. N Yajnesh Sharma, Sri H. N Sheshagiri Rao, Dr. Sureshramana Mayya, , Mr. Srinivas Rao, Sri Rajvarma Ariga, B, Sri Srinivasa Poojari and Dr. Veerupaksha Devaramane

3. Greetings

Prof. H.K.V Rao welcomed the members of Executive Committee.

4. Changing of name and finalising the legal formalities

Prof. H. K V Rao explained the importance of streamlining the legal position of our association. He explained in detail the importance of registration and continuing the status of registration. Later, he requested Sri Srinivas Rao to explain in detail about the formalities to be adhered to comply with the registration. Sri Srinivasa Rao explained in detail about his meeting with Sri Tippeswamy, the District Commissioner for Stamps and Registration. His briefing can be summarized as follows.

The Eshwar Nagar Resident Welfare Association comes under the provisions of Societies Registration Act 1960. Accordingly, the continuance of registration requires the submission of following –

a. Copy of the Notice of AGM, date, time of AGM, Venue of AGM

b. Submission of Audited Financial Statements – Receipt and Payment Account, Income and Expenditure Account and Balance Sheet from 2006 onwards. All these documents must be signed by Chartered Accountant.

c. The Annual General Body Meeting must be conducted before 30^th September of every respective year.

d. Within 15 days of conducting the meeting, the documents, copy of the resolution, etc. must be submitted to the Registrar's Office.

e. Every year the Association must be reviewed.

f. Only, if it clear to the Registering Authority that all the requirements are complied with, the competent authority may register the Association.

He also suggested the name of an advocate who has got expertise in the process of registration. Accordingly, Sri Srinivas Rao met the lawyer, Sri Ganesh Kumar Matte, a leading advocate of the District, Mr. Ganesh Kumar Mattu also suggested to comply with registration, the requirements, such as the copy of Receipts and Payments, Income and Expenditure Account, all signed by a Chartered Accountant. Mr. Srinivasa Poojari asked about the usefulness of complying with Registration formalities. The President explained the utility of registration, the possibility of attracting funds, streamlining the activities, etc. After discussion, all the members of EC unanimously approved the decision to go ahead with changing the name and to comply with legal formalities.

5. Review of Civic Works

Sri Srinivas Rao explained in detail about the Civic works undertaken by the Counsellor Sri Mahesh Thakur. He said that the pending work at I Main has already completed. Even the completion of High Mask Light at Pandavakere Area will be taken up immediately after the election. The Association will take up the issue of Bus Stand after the election.

6. Health Related Camp

It was proposed to conduct a health related camp for the benefit of members of Eshwar Nagar Residents Welfare Association. It was decided to conduct the camp during the month of April 27^th , the final date will be conformed only after discussing with the Principal of TMA Pai Polytechnic. Members collectively felt that as in the last year, the camp would be conducted in the TMA Pai Polytechnic. Dr. Veerupaksha Devaramane will chalk out the programme and communicate with other members within a week.

7. Other Matter

Members also discussed about the accumulation of dust, EC Member Mr. Srinivas Poojari informed that the problem will not continue after two months, they will stop the plant.

It was also decided to conduct next EC Meeting after 45 days in consultation with the Vice-President Dr. Gowri.
