The objective of the meeting was to finalize preparations for the Annual General Meeting, scheduled for 28th September 2024 at Vaishnavi Hall, Manipal. The President updated Dr. Gowri on the latest developments within the Association, and she expressed her appreciation for the efforts made by the office bearers. Dr. Gowri offered to partially sponsor the food arrangements for the event. Still, Shri Ganapathi Kamath informed her that the Association had already made arrangements for the food, with many members generously contributing towards the costs. The President also clarified that no association funds would be used for the food arrangements for the AGM.


Sri Rajavarma Ariga introduced the members present at the meeting to Dr. Gowri and formally introduced all the office bearers of the Association. He welcomed the select members attending the core committee meeting and expressed his gratitude to Dr. Gowri for the excellent arrangements made for the gathering. Sri Ariga also briefed Dr. Gowri, a Charter Member who has set a benchmark for the Association on the various activities conducted by the Association. He emphasized that the contributions from all Executive Committee members and other participants would ensure the success of the upcoming AGM.

The AGM schedule was then discussed in detail. It was agreed to begin the Meeting between 5:30 PM and 6:00 PM, with light snacks served from 6:00 PM to 6:30 PM a Housie (Bingo) game for all members will occur from 6:30 PM to 7:30 PM,  the official Annual General Body Meeting will be conducted.. The entertainment program will commence at 7:30 PM, with dinner served afterwards Sri Prabhakar Poojari, who has accepted the invitation, will be felicitated during the event. Dr. Gowri inquired about whether the President would address pressing issues within the Association, such as the bus shelter. In response, Sri Ariga provided a detailed update on the developments regarding the bus shelter.

Dr. Gowri also raised other concerns, including the Dairy Road expansion, the construction of the bus shelter, and the completion of concrete work on the third main road. Additionally, the issue of allocating ₹92 lakhs for the Narasinge Road project was discussed. The stage program for the AGM will begin at 7:15 PM. Sri Ariga then asked Dr. Sureshramana Mayya to explain the formal AGM stage program, which Dr. Mayya outlined as follows:

It was also decided that Dr. Shyam Sunder Bhat would briefly introduce the new members, providing their details concisely instead of allowing them to introduce themselves to save time.

Sri Srinivas Poojari, the food in charge, presented the menu for the event. Snacks will be served starting at 5:30 PM, including a Tomato Bath and Avalakki Upkari. Although Dr. Shenoy requested to add Ambade (a popular snack), it was ultimately decided to proceed with the original menu for the light refreshments, catering to around 100 members.

For dinner, which will serve between 200-250 attendees, the following items were listed:

  • Kadle and Suvarna Gasi (prepared in a Konkani style)
  • Kadu Kanchala Podi
  • Baby Corn Podi
  • Happala (papad)
  • Paneer Biriyani

  • Menusukai (a spiced dish)
  • Hayagreeva Maddi (Sweet)
  • Jahangir (a sweet)
  • Majjige (buttermilk)
  • And other usual accompaniments.

This menu was thoughtfully curated to cater to the diverse tastes of the members and ensure a fulfilling dining experience.

It was also decided that the National Anthem would be sung after the cultural program. All the members, who would assemble on stage following the cultural performances, agreed to sing the anthem, even if it occurred after 9 PM. Sri Kalmadi proposed offering good mementoes to participants, and it was suggested that Dr. Shobha Kamath take charge of purchasing and making arrangements of  cashew packets as gifts. The members unanimously accepted this proposal, estimating that around 20-30 packets would be required for distribution to the participants.

Following this, Sri Rajavarma Ariga requested Dr. Shubha HNS Rao to elaborate on the various initiatives undertaken by the Association. Dr. Shubha provided a comprehensive overview, mentioning significant projects such as the expansion of Narisinga Temple Road, the celebration of Yoga Day, and the successful Health Camp, where nearly 80 beneficiaries were screened for various ailments under the coordination of Dr. Arun Maiya. She also highlighted other notable efforts like the Varahi Water Project, the Vanamohotsava (tree planting festival), and the financial assistance of ₹50,000 extended to Sri Umesh, who is recovering. Dr. Gowry, the largest donor, contributed through the Rotary Club of Manipal.

For the cultural program, a diverse range of performances was planned, including songs, dances, and rhythm pad music. The program will feature a song by Mr. Pradumna and performances by Mr. Prakash Shenoy and Mr. Vinayak Shenoy. Additionally, there will be four dance items based on Krishna, Bala Krishna, and Dandiya themes. The cultural segment is structured to include 25 minutes of songs and 15 minutes of dance, making up 55 minutes. Despite his relocation to another area, a special performance slot was also offered to Mr. Sadananda. To ensure fairness and inclusivity, it was agreed that no member would be given a second opportunity to perform, allowing all participants to showcase their talents within the allotted time. Spot entry not entertained.

Dr. Vinayak Shenoy expressed gratitude to Dr. Gowry for sponsoring the program and added a heartfelt remark, noting that since they were sitting in front of the Pooja Room, he had prayed last year for Dr. Gowry's recovery and presence on stage for the following year. Smt. Muktha immediately interrupted with a light-hearted comment, suggesting that Dr. Gowry would play the role of Sri Krishna on 28th September, which would be the highlight of the program and a reflection of their shared sentiments. Some members became visibly emotional at this touching remark. Dr. Vinayak Shenoy also thanked the Executive Committee (EC) Members for their contributions to the event's success.
