Minutes of the Core Committee Meeting of Eshwar Nagar Residential Welfare Association

The Core Committee Meeting of Eshwar Nagar Residential Welfare Association was convened on August 21, 2023, at the residence of Vice President Sri Rajavarma Ariga. The meeting was attended by the following members:

The meeting began with a welcome from Sri Rajavarma Ariga, who then announced the committee members for the year 2023-24. The following committees were formed:

• Health Committee: Dr. Shamsunder Bhat
• Cultural Committee: Sri Harish Kalmadi
• Environmental Committee: Dr. Balachandra Muniyal
• Service Events: Sri Virupaksha Devaramane
• Advisors: Sri Srinivas Rao, Prof. H K V Rao, Dr. Gowri, Sri Srinivasa Poojari, and Dr. Yajesh Sharma

It was decided to nominate the following individuals as office bearers of the association in case no one is interested in participating in the election process:

• Vice President: Vice President

• Joint Secretary: Dr. Raghu Chandrashekar

Other Discussions:

• Sri Prakash Shenoy suggested updating the members' list, and the committee appreciated his commitment to this task.
• Invocation responsibilities will be assigned to Smt Asha Thimmappa.
• Sri Ariga proposed a unique program to felicitate senior members like Dr. K N Pai, Dr. N T Bhat, Sri Shridhar, and Sri Muthu Nayak for their contributions to the society. The possibility of inviting Dr. K N Pai was also discussed.
• The committee discussed the idea of inviting Municipal Commissioner Sri Rayappa and Sri Srinivas Upadhya of Parkala for their contributions.
• Sri Srinivas Poojari suggested including additional entertainment in the program.
• The suggestion of preparing food at the venue was discussed, along with contributions from EC Members to cover costs.
• All programs were proposed to start at 6:30 pm.
• The official AGM meeting was suggested to begin at 6 pm.

Sri Nagaraj K proposed a vote of thanks to Mrs. Ariga for providing evening tea and sweets to all members. Another Core Committee Meeting will be scheduled before the AGM.

MINUTES:

Mr. Dinakara Shetty extended a warm welcome to all present.

1.      Approval of Previous Minutes:

The minutes of EC Meeting [No. 11] held on June 17, 2023, were read out by the Secretary, and approved.

2.      Report on Activities:

The Secretary reported on activities held after the last ECM: a. No other major issues were reported. b. No new members were added to the association since the last EC meeting. c. No progress was made by UCMC during the period regarding pending new road sign boards/repainting old ones in the colony. d. Routine matters related to utilities in the colony were coordinated as usual.

3.      Election Process Report:

The Vice President presented a report on the core committee meeting held on August 3, 2023, regarding the election process for the next term's office bearers. The report was approved.

4.      Audited Balance Sheet:

The audited balance sheet for the year ending March 31, 2023, was placed before the EC committee, approved, and recommended for presentation in the AGM for final approval and acceptance.

5.      Financial Status:

The financial status of the association as of August 12, 2023, is as follows:

• Bank balance: Rs. 92,406.00.
• Existing Fixed Deposit: Rs. 1,07,256.00.
• Cash balance in hand: Rs. 3,776.00.

6.      Planning for AGM:

There was a detailed discussion and planning for the next AGM. It was decided to conduct the next AGM [17th] on September 9, 2023, at Vaishnavi Sabhabhavana, Eshwar Nagar from 6:00 pm onwards.

7.      AGM Planning and Execution Core Committee:

A core committee, "AGM Planning and Execution Core Committee," headed by the President, was created to plan and execute the entire AGM process. The members, other than the President, in this committee are: a. Mr. Rajvarma Ariga B. b. Dr. Virupaksha Devramane. c. Prakash Shenoy. d. Ms. Shubha H.S. e. Prof. Yagnesh Sharma. f. Mr. Harish G. Kalmadi. g. Nagaraj K. h. Prof. Sureshramana Mayya. i. Mr. Ganapathi V. Kamath. j. Mrs. Shashikala Rajavarma. k. Mr. Srinivasa Rao (Advisory Member).

8.      Appointment of Returning Officer:

It was decided that Prof. Yagnesh Sharma would be the Returning Officer to conduct the Election in the AGM for the following positions: a. Vice President. b. Secretary. c. Joint Secretary. d. Treasurer. e. Executive Committee Members - 4 New members other than those members in the current Executive Committee.

9.      Senior Advisors for 2023-25:

The following EC members will be appointed as Senior Advisors for the term 2023-25: a. Prof. Yagnesh Sharma - Past President and Current EC member. b. Mr. Srinivas Poojary - Past Vice President and Current EC Member.

10.  Formation of New Special Committees:

New special committees were established for the term 2023-25, each headed by the following Chairpersons: a. Health Committee - Dr. Shyamsundar Bhat. b. Environmental Committee - Dr. Balachandra Muniyal. c. Cultural Committee - Mr. Harish Kalmadi. d. Public Image/Relations Committee - Dr. Virupaksha Devramane. e. Editorial Committee - Prof. Sureshramana Mayya [Co-Chaired by: Dr. Shubha H.S.].

11.  AGM Notice Preparation:

Secretary Mr. K. Prakash Shenoy was tasked with preparing the AGM Notice to be sent to all the members and ensuring that the notices are dispatched to all the members at least 21 days before the date of the AGM.

12.  Proposed Bylaws Amendments:

It was decided to propose the following two by laws amendments for approval in the forthcoming AGM: a. That additional members [particularly ladies] may be allowed to join the association as regular members with voting rights in AGM to increase the overall membership count of the association and to make it more vibrant and active. b. In view of the increase in expenses [AGM related], the annual membership fee from the present Rs. 400/- per member/year be increased to Rs. 500/- per member/year.

13.  Vote of Thanks:

The meeting concluded with a vote of thanks given by Mr. Nagaraj K., Treasurer.

The Core Committee Meeting of the Eshwar Nagar Residents Welfare Association was convened on August 3rd, 2023, at the residence of the Association's President, CA Dinakar Shetty. The meeting was attended by the following esteemed members:

The meeting commenced with a warm welcome from CA Dinakar Shetty to the core committee members. The primary agenda of the meeting was to finalize the prospective President, Secretary, and Treasurer, along with determining the members of the Executive Committee.

The committee engaged in a detailed discussion, considering the roles and responsibilities of the office bearers. After careful deliberation, the members reached a consensus and finalized the positions of the President, Secretary, and Treasurer. Additionally, the composition of the Executive Committee was also confirmed during the meeting.
